The range of services provided by the units within the OREG appear at every point in the student life cycle, beginning with recruitment and admissions, all the way through to convocation. Members of the OREG team strive to be consistent in their interpretation, communication and application of regulations, policies and procedures while being both professional and respectful of the diversity and complexity of needs across the university campus. The OREG interacts with staff, students, faculty, university and external community members in order to assist in the delivery of core services that cross operational and departmental boundaries (e.g., registration, class and exam scheduling). It is important that students and our university colleagues are well-informed and well-supported by the OREG and the services offered.

Job Summary

Reporting to the Financial Aid Officers, the Financial Aid and Bursary Assistant is part of the team within Student Awards and Financial Awards (SAFA) that administers the bursary program. The Financial Aid and Bursary Assistant provides administrative support for the undergraduate and graduate bursary program as well as provides back-up to the Financial Aid Assistants within SAFA.

The Financial Aid and Bursary Assistant supports the Financial Aid Officers in administering the undergraduate and graduate bursary programs for both domestic and international students. These bursary program offers over 1330 bursaries with a value of over $4 million to students each year. The Bursary Program has two application dates, one in each session at the university (Summer Session: May to August and Winter Session: September to April).

The Financial Aid and Bursary Assistant also provides back-up front counter services to the Financial Aid Assistants, providing advice and guidance to students regarding various government aid programs (i.e, Canadian and US student loans), as well as keeping abreast of any changes to the provincial/federal government aid policies and procedures. The assistant will also need to be able to access government databases and portals to obtain student loan information.

Regular hours for this position are Monday to Friday, 8:30 to 4:30pm. A modified work week may be available.

Job Requirements

Demonstrated experience providing:

  • Excellent interpersonal, communication, and clerical skills
  • Are required to relate effectively within a team environment, as well as the University community and external contacts
  • Good spoken and written communication skills
  • Demonstrated initiative and ability to:
  • Problem solve by using sound judgment
  • Work independently with limited supervision
  • Determine when a problem needs to be taken to a higher authority
  • Demonstrated ability handling sensitive and/or confidential matters with tact and diplomacy
  • Ability to follow complex guidelines/policies (.e.g., Freedom of Information and Protection of Privacy guidelines)
  • Ability to handle detailed information, accurate mathematical calculations, and enter data with a high degree of accuracy
  • Ability to prioritize and perform detailed work accurately in a fast paced environment with constant interruptions and strict deadlines

Specialized Knowledge/Education:

  • University systems such as Banner and FAST Finance are an asset.
  • Microsoft Office Suite and Adobe Pro are an asset.
  • Knowledge of the post-secondary organization, roles, policies and systems of central and academic units of the University are an asset
  • Knowledge of government student aid programs or post-secondary award programs is an asset.

Experience: Office or business administration

  • At least two years minimum experience in office administration or equivalent combinations of training, education and/or experience may be considered
  • Experience answering general and complex inquiries by applying knowledge of existing policies or procedures.
