Job title: Operations Assistant – North America

Job description: Applications are invited for an Operations Assistant to join our growing team working at the cutting edge of biodiversity monitoring. The role will focus on the smooth running of day-to-day operations, focussed on shipping and goods in of customer kits and samples to and from a range of North American clients. The successful candidate will report to the General Manager and will work closely with the operations and lab teams. You will be comfortable working autonomously where necessary, managing multiple priorities and ultimately thrive as part of an already highly successful team. We’re looking for a highly self-motivated, organised individual, with an interest in business administration and sample management for an exciting biotech.

Roles & responsibilities

General

  • Maintain accurate and complete records on internal systems
  • Verify and pack orders before shipping
  • Create shipping labels and customs paperwork required for international shipments
  • Review open shipping documents to ensure timely processing of paperwork and trace shipments
  • Review and verify shipment orders
  • Track shipments and input data into the company systems
  • Investigate, verify, and resolve any discrepancies and inquiries between sales/purchase orders and/or the shipping documents
  • Respond to customer service requests when necessary
  • Perform Inventory Cycle counts
  • Check in customer samples on lab tracking system.

Communication

Communicate proactive updates to customers and resolve issues as they arise to best ability, escalating to the appropriate individual when necessary

Build strong relationships with vendors

Maintain regular communications with the NatureMetrics team, always complying with our policies and procedures and upholding our standards and the core elements of our brand.

Person Specification

Education & qualifications

Knowledge of inventory control

High school diploma or GED certificate; associate degree preferred * 1+ years’ experience in a similar role

Specialist knowledge, skills & experience

  • Experience with LIMS considered an asset
  • Ability to anticipate demand and determine which materials and supplies the company needs
  • Understanding of basic maths, budgeting, and accounting
  • Strong analytical and investigative skills
  • Knowledge of Business Central and Microsoft Office considered an asset

Interpersonal & communication skills

  • Strong interpersonal skills are vital
  • Excellent written and verbal communication skills
  • Strong organisational skills
  • Strong accuracy and attention to detail
  • A demonstrated capacity and interest in learning and development

Terms and Conditions

Location

NatureMetrics North America main office, Guelph, ON.

Working pattern and hours

  • The post holder is expected to work 4 hours a day on-site, within core hours between 9am and 5pm (exact hours flexible). Travel will not be required for this role.
  • This role may require long periods of standing as well as kneeling, squatting, reaching or bending forward to arrange, lift and load packages from shelving.
