Job title: Support Services Officer II – Mailroom
Job description: Preference will be given to qualified regular part-time employees within the Part-Time Support Staff bargaining unit at Sheridan College. Should a suitable candidate not be found, external candidates will be considered.
Reporting to Manager, Finance & Business Operations, Business Services, the Support Services Offer II plays a key role in Mailroom providing prompt and competent service for postage and courier needs for Sheridan community. As a part of the responsibilities, the incumbent act as the first point of contact, providing support and help to departments for mail and courier services including Canada Post, inter-campus mail, UPS, and other courier services.
What You’ll be Doing
- Performing incoming and outgoing postal and courier duties;
- Receiving, sorting, and distributing mail, inter-office mail, packages, courier, and fax documents;
- Processing outgoing mail by metering for Canada Post Corporation by following the established internal procedures and Canada Post regulations respecting outgoing mail;
- Creating shipment for outgoing courier, managing UPS user accounts, and answering inquiries about UPS shipping;
- Tracking, tracing, and resolving mail or courier issues;
- Getting notification about damage/loss deliveries and working with service provider for the claims;
- Processing and monitoring Inter-campus mail deliveries;
- Procurement of supplies to compliment the services provided;
- Advising on most cost-effective methods of shipment (in liaison with Xerox services);
- Scanning mail to departments when the staff cannot pick up in person;
- Maintaining the mailbox list up to date;
- Managing UPS billing (download invoice, request confirmation for chargebacks, send the invoices for Managers’ approval via Adobe sign);
- Running monthly account reports for outgoing Canada Post mail on the mail machine;
- Performing other related duties as assigned.
About You
You enjoy balancing many different tasks and can prioritize multiple projects while staying organized and maintaining a high level of attention to detail.
You use your interpersonal skills to build working relationships and provide excellent customer service.
The successful candidate will also meet the following requirements:
- Understand Canada Post postage rates and regulations.
- Previous experience in administration and customer facing roles.
- Ability to understand and follow written and oral instructions.
- Completion of High School and College diploma is preferred.
- Intermediate computer skills in MS Word and Excel, and comfortable using a scanner, printer, and other office equipment.
