Job description: ABOUT THE OPPORTUNITY

We are seeking a full-time Travel & Administrative Assistant to support our leadership team and act as our go-to, dependable resource for travel bookings and all things administrative. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.

WHAT YOU’LL DO

  • Book travel arrangements for 15+ staff under the direction of the Travel & Logistics Coordinator
  • Answer phones, direct calls, send messages for the Toronto office and remote managers
  • Coordinate the shipment of materials to remote offices (coveralls, water, sewer, propane, etc.) and manage vendor relationships
  • Ensure file organization based on office protocol
  • Provide ad-hoc support around office as needed
  • Assist with project coordination, logistics, scheduling, job postings and candidate screening
  • Assist with documentation and packing of mail and shipments
  • Be available at the office during office hours to provide attendance to suppliers, agents, and clients
  • Assist with reconciliation of expenses and support to accounting and finance teams
  • Assist with some local pick ups / drop offs using a company pick up truck (an asset)

WHAT WE’RE LOOKING FOR

  • Strong interpersonal, customer service and communication skills
  • Advanced level of technical proficiency in Microsoft Excel, Word, Outlook and Google G-Suite a must
  • Experience in managing multiple priorities, administrative coordination, and logistics

  • Ability to take direction and feedback from senior, contemporary and junior staff.
  • A valid class 5 drivers licence
