Job title: Department Administrator

Job description: The Department of Microbiology and Immunology, a unit in the Faculty of Medicine, is a research intensive department with internationally acclaimed researchers and programs. Reporting to the Department Head, the Administrator will oversee all non-academic functions of the Department in support of teaching, administration and research.
Key Responsibilities

  • Develop annual departmental budget; complete periodic budget variance analyses and identify options to address shortfalls. Prepare funding proposals as well as cost-benefit reports and expense analyses for project planning.
  • Assist researchers on financial matters, including developing and maintaining financial projections for research budgets. Monitor grant accounts for budget variance and advise researchers on methods to address deficits/surpluses.
  • Manage and oversee recruiting, hiring, training, performance, development and retention of Department non-academic staff. Participate in the recruitment of academic faculty positions. Oversee faculty recruitment, retention and tenure and promotion processes. Answer collective agreements queries.
  • Advise researchers on managing grant paid employees; ensure University and government regulations are followed. Oversee research staff and student payroll processes. Liaise with Financial Services and Research Services on researchers’ behalf regarding granting agency funding policies and procedures.
  • Manage Department operations. Oversee internal and external communications, and maintenance of the Department’s website and SharePoint site. Provide training and support in the use of the Banner system. Evaluate Department ITS requirements.

Qualifications

Undergraduate degree in Business or related field plus approximately five years’ related, progressive administrative experience (or equivalent combination of education and experience) is required, ideally in a post-secondary environment. The successful candidate will have experience across human resources, finance, and operations and planning. Previous supervisory experience in a unionized environment with proven leadership skills is required. Must have demonstrated strong analytical skills, initiative and the ability to exercise sound judgment independently. Effective interpersonal and communication (written and verbal) skills are required. Must have the proven ability to work to deadlines and manage multiple priorities in a busy, variable environment.
