Job Summary:
The Office Assistant will perform clerical tasks that will help keep the smooth functioning of the McGill Methodological Development Platform of the Quebec SUPPORT Unit. He or she will handle phone calls, emails, schedule meetings, make travel arrangements, handle refunds and payments, and other clerical tasks the supervisor may request.
Duties and Responsibilities:
Schedule meetings
Answer phone calls and emails
Schedule meetings and update calendars
Book meeting rooms
Prepare documents
Reporting and follow-up
Make travel arrangements
Handle travel advance
Purchase of train tickets
Purchase of plane tickets
Handle refunds and payments of service providers
Prepare payments for members of the team
Prepare refunds and payments for patient partners
Handle external invoices
Bridge with Finance for the creation of new vendors
Various clerical tasks including, but not limited to
Format documents
Retrieve journal articles and maintain EndNote libraries
Compile and maintain email lists
Qualifications
Professional and Collaborative
Excellent Communication Skills
Strong Organizational Skills
Knowledge of Microsoft Teams, Excel, Word, and PowerPoint
Knowledge of Doodle for Planning (Asset)
Minimum Education and Experience: High School Diploma 2 Years Related Experience
Hourly Salary: (Amuse C) $14.50
Hours per Week: 10 (Part time)
